When you book a consultation, complete an intake form, engage with one of our practitioners, or purchase a service through Same Wellness, we collect the personal information you provide to us, such as your name, contact details, date of birth, and relevant health information needed to provide safe and appropriate care.
When you access our website or telehealth platforms, we may automatically receive information such as your device type, browser, IP address, and general usage analytics. This helps us improve our website experience and service delivery.
Because we provide health services, we may collect sensitive information (when relevant to care) including medical history, reproductive history, mental health information, gender identity, sexual orientation, clinical notes, treatment plans, and referral information. This information is collected only with your explicit consent and is used solely to deliver high-quality health care.
We may also use your information to communicate with you about appointments, service updates, or, with your permission, marketing and wellness updates.

When you provide us with personal or health information in order to book a service, complete an intake form, access telehealth, or engage with your practitioner, you consent to our collecting, storing, and using that information for the purpose of delivering safe and appropriate care.
If we request your information for a secondary purpose, such as marketing or newsletters, we will ask you directly for your express consent or provide an option to decline.
You may withdraw consent for marketing communications at any time by contacting us at info@samewellness.com.au.
Please note that withdrawal of consent does not affect clinical records we are required to retain under Australian law.
SECTION 3 - ANONYMITY AND PSEUDONYMS
Same Wellness will generally provide individuals with the option of not identifying themselves when entering into transactions when it is lawful and practicable to do so.
SECTION 4 - DISCLOSURE OF INFORMATION
We may disclose your personal or health information:
To practitioners involved in your care
To administrative or digital platforms that support our operations (e.g., telehealth providers, booking systems, payment processors)
When required by law, subpoenas, Medicare or regulatory audits
To emergency services if there is a serious risk of harm
We do not sell your information.
If Same Wellness is ever acquired, merged, or undergoes structural change, your information may be transferred to ensure continuity of services.
SECTION 5 - REGULATED & UNREGULATED PRACTITIONERS (AHPRA ALIGNMENT)
Same Wellness offers services delivered by both AHPRA-regulated practitioners (such as psychologists and occupational therapists) and unregulated practitioners (such as naturopaths, IBCLCs, and nutrition professionals).
Each practitioner works strictly within their own professional scope of practice and maintains responsibility for their clinical decisions and record-keeping.
In accordance with AHPRA advertising guidelines, we do not publish testimonials or statements that imply clinical outcomes.
SECTION 6 - TELEHEALTH PRIVACY & TELEHEALTH DISCLAIMER
During telehealth consultations, we collect information necessary to deliver safe care, including clinical notes and information shared during your session. Telehealth sessions are not recorded unless you provide explicit consent.
Service availability may vary based on practitioner type, location, Medicare eligibility, and clinical suitability. Your practitioner may advise an in-person service if telehealth is not appropriate for your presentation.
You are responsible for selecting a private, secure location for your telehealth session.
SECTION 7 - THIRD-PARTY SERVICES
We use third-party service providers to support our operations, including telehealth platforms, electronic health record systems, payment gateways, website hosting, analytics tools, and booking software. These providers collect and use your information only to the extent necessary to perform their services.
Some of these providers may operate overseas. When this occurs, we take reasonable steps to ensure your information is handled in accordance with the Australian Privacy Principles.
Once you leave our website or are redirected to a third-party platform, their privacy policies apply.
